SMAA Awards, Exhibits and Judging

General Rules

  1. Projects submitted for judging must be on official SMAA Entry Forms.  If any project exhibit includes a video, a copy of the video should be submitted with the entry forms so that it may be passed on to each judge for reviewing in a timely fashion.
  2. A written report detailing the project must be sent to SMAA Headquarters no later than July 1 (faxed or mailed).
  3. Written reports must be typed, double-spaced and no more than four pages in length.
  4. Each state may have only one “State” entry.  A state entry is a project initiated by the state in which at least 3 counties in the state participated; or a project that was a multi-county collaborative effort; or a project on an institution or organization representing the whole state.
  5. Each county in the state may have one “county” entry.  Members-At-Large, where there is no organized county alliance/Alliance, who initiated a project they wish to be judged, may enter the project as a county project.
  6. All entries must be for projects started or completed within twelve (12) months of the entry deadline.
  7. The entry must not have been previously submitted for consideration unless it is an ongoing or multi-year project.
  8. All entries should relate to individual events or activities within, or relative to, the region of the Southern Medical Association.
  9. All entries should relate to the particular focus or category of entries for the year submitted.
  10. Projects will be judged on the following criteria:
    1. Overall merit and/or value;
    2. Collaborative efforts;
    3. Goals clearly stated and met;
    4. Quality of documentation;
    5. Overall planning and execution; and
    6. Clarity of presentation.
  11. Counties and states, working in collaborative efforts with other organizations and agencies, must clearly identify these organizations in the written report, make the organization aware that the project has been submitted for judging and keep them abreast of the outcome and request that information and any awards won by the project be placed in the organization’s official newsletters and journals.
  12. All entrants are required to exhibit their projects in the Hospitality Room at Convention.  Exhibit boards are available from SMAA office at a nominal charge of $8.00, or you may develop your own display board.  An entrant may choose to use the SMAA Project Portfolio instead of an exhibit board to display a project.  The portfolios are available from the SMAA Office at a nominal charge of $14.00.  As with the exhibit boards, the portfolio should include pictures, photographs, memorabilia, etc. To illustrate the project.  Identify on the back of the board the following information in large print; project name, full name of county alliance and state, membership size and name of person bringing exhibit to convention.
  13. Within the parameters of these general guidelines, the project materials may be presented in many ways, including but not limited to, the following: books, manuscripts, poems, brochures, videotapes, audio tapes, slide presentations, scrapbooks, or displayed pictures and articles.
  14. All exhibits must be in place by noon of the opening day of the SMA Alliance annual meeting and removed by noon of the last day of the annual meeting.
  15. If using a display board, an exhibit cannot exceed 36 inches by 36 inches by 36 inches.  If exhibit is transported in a box, please place the box under the table.
  16. If the exhibit will require any special equipment, the Alliance submitting it is responsible for arranging for the equipment, although SMAA will cooperate as much as possible.
  17. Final review and judging will occur at the Annual Meeting.

AWARDS
Certificates and ribbons (first, second and third place) can be given for each of the following in all three categories; Doctors’ Day, Health Education and Medical Heritage:

  1. Statewide project;
  2. County Alliance with more than 150 members;
  3. County Alliance with 75 to 150 members;
  4. County Alliance with less than 75 members.

Doctors’ Day
The Feldner Award will be presented to the county or state Alliance submitting the best overall Doctors’ Day observance. A monetary amount of Five Hundred Dollars ($500.00) is awarded to this winner at the Alliance Luncheon during the Annual Convention. This winner will be asked to make a brief presentation, not to exceed five (5) minutes, describing and highlighting the project at the Post Convention Board Meeting. A picture and a brief review of the project as summarized by the Editor will be published in the Southern Connection.

The Guy Smith Kirby award will be presented to the county or state Alliance submitting the second best overall Doctors’ Day observance. A monetary amount of Three Hundred Dollars ($300.00) is awarded to this winner at the Alliance Luncheon during the Annual Convention.

Health Education
The Eileen Martin Award will be presented to the county or state submitting the best overall Health Education project. A monetary amount of Five Hundred Dollars ($500.00) is awarded to this winner at the Alliance Luncheon during the Annual Convention. This winner will be asked to make a brief presentation, not to exceed five (5) minutes, describing and highlighting the project at the Post Convention Board Meeting. A picture and a brief review of the project as summarized by the Editor will be published in the Southern Connection.

Medical Heritage
The Dr. and Mrs. Milford O. Rouse Award will be presented to the county or state submitting thebest overall Medical Heritage project.A monetary amount of Five Hundred Dollars ($500.00) is awarded to this winner at the Alliance Luncheon during the Annual Convention. This winner will be asked to make a brief presentation, not to exceed five (5) minutes, describing and highlighting the project at the Post Convention Board Meeting. A picture and a brief review of the project as summarized by the Editor will be published in the Southern Connection.

SPECIAL COMMENDATION AWARDS

Doctors’ Day
DOCTORS’ DAY AWARD OF EXCELLENCE – This award may be presented at the Annual Convention to a physician who has made an outstanding contribution to community service.

Examples: Initiated a school program on a vital age-appropriate health issue such as tobacco usage, obesity, drug use, or pregnancy prevention; Developed a community forum on a public health issue, or a free clinic such as Healthy Mothers, Healthy Babies or cancer screening services or teen pregnancy clinics; Volunteered services to health organizations such as the Red Cross or Doctors Without Borders, or the American Cancer Society or the American Heart Association.

CRITERIA FOR THE DOCTORS’ DAY AWARD OF EXCELLENCE

  1. Nominee must be a physician.
  2. Physician nominee must be a member of the Southern Medical Association.
  3. Only one nominee per state per year will be allowed.
  4. All nominations must be submitted on the appropriate nomination form which can be found in the SMAA Reference Book and must be accompanied by a written letter of recommendation and any appropriate documentation.
  5. A nomination may be submitted by the state Medical Association or the state Medical Alliance with the approval of the state Medical Association.
  6. The deadline for all nomination forms and letters of recommendation is July 1.

  8. The award winner will be chosen by a special committee appointed by the SMAA President with the award presented to the winner at the Annual Convention.

  11. Projects will be judged on the following criteria:
    1. Overall merit and/or value;
    2. Collaborative efforts;
    3. Goals clearly stated and met;
    4. Quality of documentation;
    5. Overall planning and execution; and
    6. Clarity of presentation.

Health Education
Health Education Award of Excellence – This award shall be presented to an Alliance member or members who have made an impact in Breast Cancer Awareness or the current Health Education emphasis and shall be presented at the Annual Convention.

Example:  Each One reach One; Breast Cancer Awareness for High School Girls; Initiating a Support Group for Breast Cancer patients, etc.

CRITERIA FOR THE HEALTH EDUCATION AWARD OF EXCELLENCE
  1. Nominee must be an SMAA member.
  2. Only one nominee per state per year will be allowed.
  3. All nominations must be submitted on the appropriate nomination form which can be found in the SMAA Reference Book and must be accompanied by a written letter of recommendation and any appropriate documentation.
  4. A nomination may be submitted by a state or county Medical Alliance or an SMAA member.
  5. The deadline for all nomination forms and letters of recommendation is July 1.

  7. The award winner will be chosen by a special committee appointed by the SMAA President with the award presented to the winner at the Annual Convention.

Projects will be judged on the following criteria:

  2. Collaborative efforts;
  3. Goals clearly stated and met;
  4. Quality of documentation;
  5. Overall planning and execution; and
  6. Clarity of presentation.

Health Education Award of Excellence – This award may be presented to honor a significant contribution for preventive efforts in the area of the current SMAA health education focus to one of the following: An individual who is not a member of the SMAA; A family;An organization;An institution;Any other worthy recipient.

Examples: Same as the two categories above.

CRITERIA FOR THE HEALTH EDUCATION AWARD OF EXCELLENCE

  1. Nominee must be an individual who IS NOT an SMAA member, a family, an organization, an institution, or others who have made a significant contribution to prevention efforts in the area of the current SMAA health education focus.
  2. All nominations must be submitted on the appropriate nomination form which can be found in the SMAA Reference Book and must be accompanied by a written letter of recommendation and any appropriate documentation.
  3. A nomination may be submitted by any SMAA member.
  4. The deadline for all nomination forms and letters of recommendation is July 1.
  5. All forms and letters must be submitted to: SMAA, P.O. Box 190088, 35 Lakeshore Drive, Birmingham, AL 35219-0088, Attention: Lisa O’Daniel.
  6. The award winner will be chosen by a special committee appointed by the SMAA President with the award presented to the winner at the Annual Convention.

MEDICAL HERITAGE Award of Excellence – This award may be presented to honor a significant contribution to the preservation of medical heritage to one of the following:

  1. An individual;
  2. A family;
  3. An organization;
  4. An institution;
  5. Any other worthy recipient.
